Privacy Policy
Last updated: 13 October 2026
Big Brain Education is run by Didact Technologies Pty Ltd (“Big Brain”, “we”, “us”). This policy explains what personal information we collect through bigbrain.au, learn.bigbrain.au and our classes, why we collect it, who we share it with, and how you can access, correct or complain about it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Many of our users are students under 18. Where this policy says “you”, it means the student and, for younger students, their parent or guardian.
What we collect
- Account details: student and parent names, email addresses, phone numbers, year level, school, target schools and exams, and how parent and student accounts are linked.
- Learning records: quiz and practice exam answers, scores, writing task submissions, marks and feedback, attendance, and study activity.
- Class recordings: online classes may be recorded, including students' voices, names, video (if their camera is on) and chat messages. Recordings are shared with the students in that class, parents who have paid for the class and asked for access, and tutors and staff. Access is removed shortly after an enrolment ends.
- Payment details: billing name, email, plan and payment history. Card details are handled by Stripe; we never see or store full card numbers.
- Messages: enquiries, support requests and feedback you send us.
- Usage data: pages visited, clicks, device and browser type, approximate location from your IP address, and recordings of how the site is used (session replay). Text typed into form fields is masked in session replay, but other things on the screen, such as a student's name or work, can appear. Only our team can view replays, and they are deleted after 90 days.
We do not ask for sensitive information (such as health or religious information). Please don't include it in writing tasks or messages unless it's needed.
How we collect it
Mostly directly from you, when you sign up, book a trial, pay, attend classes or use the platform. A parent may give us their child's details, and a student may give us a parent's details. We also receive enquiries from JT Education Pty Ltd (see below), and usage data is collected automatically through cookies and similar tools.
JT Education
JT Education Pty Ltd (jaycetutoring.com) is a separate company that shares a majority owner with us. JT Education uses the Big Brain platform for its enquiries, trial bookings, payments, classes and student accounts. When you enquire with JT Education, it shares your enquiry details with us so we can provide those services. JT Education's tutors can see the learning records of the students they teach. We use this information only for JT Education tutoring and the Big Brain platform, as described in this policy. You can send an access, correction or privacy request to either company, and we will work together to answer it.
Why we use it
- To create and manage accounts, and link parent and student accounts.
- To deliver classes, practice exams, marking, feedback and progress reports.
- To take payments and manage subscriptions.
- To send class reminders, account emails and SMS, and reply to enquiries.
- To keep the platform secure, fix errors and improve our services.
- To send news and offers, if you have agreed to receive them (see “Marketing”).
If you don't give us the information we ask for, we may not be able to create an account, book a class or take a payment.
AI marking and assistants
We use artificial intelligence (OpenAI's models) in a few places, and send OpenAI only what each one needs:
- Marking writing tasks: the student's written answer and the task details.
- Study assistants: the questions a student types and the conversation so far.
- Tutor tools: when a tutor asks for a progress chart, the names in their class list, so the tool can find the right student.
- Internal reports: summary numbers about how the platform is doing, with no names or contact details.
Under OpenAI's API terms, this content is not used to train its models. AI marks are a guide to help students improve; they are not a prediction or guarantee of exam results. If you would like a tutor to review an AI mark, email us at team@bigbrain.au.
Children
Students under 15 should use Big Brain with the consent of a parent or guardian. Parents can link to their child's account to see progress and receive updates. If you are a parent and think your child has given us information without your consent, contact us and we will work with you to update or delete it.
Student community (Discord)
We run an optional student community on Discord for questions and tutor support. Discord is a separate service with its own privacy policy. Messages posted there can be seen by other members and are moderated by our team. Please don't share personal contact details in the community.
Who we share it with
We don't sell personal information. We share it only with the service providers that help us run Big Brain:

Tutors and staff see the information they need to teach and support students. We may also share information where the law requires or allows it, for example with authorities to protect a child's safety.
Overseas
As listed above, some of our providers store or process personal information outside Australia, mainly in the United States and the European Union. We choose providers with strong security and privacy commitments, and we remain responsible for how they handle your information under Australian privacy law.
Cookies and tracking
We use cookies and similar tools to keep you signed in, understand how the site is used, and measure our advertising. Session replay lets us see how pages are used so we can fix problems; typed text is masked. You can block or delete cookies in your browser settings (some features, such as signing in, need them), and manage how Meta uses your activity for ads in your Facebook or Instagram ad settings.
Marketing
When you create a Big Brain account, we add you to our newsletter (exam tips, important dates and offers), and we tell you this on the sign-up page. You can unsubscribe at any time using the link in every newsletter, or by emailing us. After an enquiry or trial we may follow up about enrolling, and those messages tell you how to opt out (for example, reply STOP to a text). Class reminders, receipts and account messages are service messages, sent while you use our services. You can ask us to stop marketing to you at any time by emailing us.
Keeping it safe
We use encrypted connections, limit access to staff who need it, and rely on providers with strong security. We keep personal information only for as long as we need it for the purposes above or as the law requires (for example, tax records), and then delete or de-identify it. If a data breach is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as the law requires.
Access, correction and deletion
You can ask to see the personal information we hold about you, correct it, or delete your account by emailing team@bigbrain.au. We will respond within 30 days. We may need to confirm your identity first, and we may need to keep some records the law requires us to keep.
Complaints
If you have a concern about how we handle your information, email team@bigbrain.au. We will reply within 30 days. If you are not satisfied with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy as our services change. The date at the top shows when it last changed, and we will email account holders about significant changes.
